What is more important in administration: Quality or Efficiency

It is very important for any management to be able to use its resources to its maximum so that fuller and efficient utilization of resources can be achieved with maximum profitability. In this same context, effective administration decision can be a valuable asset for taking such a profitable decision in the long run.

As we all know that “Time is money” and Administrative department is the backbone of an organization. An effective administrator is an asset to an organization. So it’s the responsibility of an administrative department to maximize efficiency within your business operations and therefore save your time and money.

If your business is operating efficiently, it gives you more time to market your business and increase sales and profitability. On the other hand, inefficiency leads to increased costs which may lead to misuse of the resources, which could invite huge losses in the long run.

Now days administration work is not limited to only drafting documents and answering telephones, speaking with clients, clerical work (including maintaining records and entering data), Organising travel arrangements for senior managers or Writing letters and emails on behalf of other office staff, but to make sure that how to keep your workers satisfied, reduce tension in the workplace, and create a positive work environment for any success of the business in the future.

As It is very difficult to run an organization without a good administration faculty. It is an administrator, who makes the rules & regulations and applies these rules in an organization.

A good administrative officer/department must motivate the workforce and ensure the efficient performance of all departments in an organization and make them realize the goals of the organization acting as a connecting link between the senior management and the employees.

Side by side it is also very important for the administrative department/officer to improve its efficiency in creating a positive work environment, when dealing with its vendors, suppliers, partners, Stakeholders and customers, so that all can build a positive relationship with each other, which in the long run will help the business to grow.

The power of management is in its ability to coordinate efforts. The key is effective communication. An Administrative Department/Officer should improve its efficiency in increasing Top-down communication to get all departments, leaders, and front-line workers on the same page.

Poor communication limits the closeness of relationships and employee’s engagement. Limited engagement contributes to a lack of organizational commitment, poor morale and eventually, employee’s turnover.  When these things lack or are poorly implemented, the barrier between management and workers will increase. So effective communication and regular engagement within the employees/departments will help in improving employee’s morale.
An inefficient Administration Department/Officer will not be able to provide proper guidance to its employees/department about When What and How to work on  each day, which will lead to chaos ensues poor employee’s performances, uncoordinated work and misdirected tasks which would result in Losses, Employee’s turnover, ineffective customer interaction.
An Administrative Department/Officer will help the organisation in smooth functions of management in planning, organizing, staffing, directing and controlling and ensuring: -

·      Projects are run in compliance with the Organisation’s requirements.
·      Employees and managers to increase their skills and productivity.
·      Workgroups to learn to be more productive.
·      Top-down communication to get all departments, leaders, and front-line workers on the same page.
·      Fuller and Efficient use of a resource to ensure Increase in sales and profitability.
·      Appropriate Investments to have higher returns.

Conclusion: -  
Clarity, Competency, Consistency and Efficiency are the hallmarks of an effective organization. An organisation should work on improving its administrative efficiency, as with improving efficiency an administrative officer/department can ensure that projects are run in compliance with the Organisation’s requirements providing guidance to project teams, maintaining and integrating project plans, tracking & reporting overall progress and ensures the smooth the flow of information from one part to the other.
An organization is defined as a group of people working towards a common goal. An effective organization is one that delivers on its common goal consistently with the resources available.
Thus without an effective administration, an organization would not run professionally and smoothly.
